SAVE OUR SAANICH ELECTOR ORGANIZATION (SOSEO) PRIVACY POLICY

The SOSEO is committed to protecting the privacy and security of personal information held about its members and campaign contributions as required by Elections BC. Our purpose is to assure members and contributors that the SOSEO complies with BC's Personal Information Protection Act (PIPA). This policy explains how we collect, use, disclose and safeguard personal information.

COLLECTION OF INFORMATION

The SOSEO only collects personal information from:

  • Members
  • Campaign Contributions
  • Volunteers

This information is collected by a variety of methods such as in-person, phone, mail, email, or online.

USE OF INFORMATION

The SOSEO uses personal information as required:

  • To provide information to members or invite them to meetings and events;
  • To solicit volunteers and campaign contributions;
  • For notice phone calls and emails;
  • For audit purposes.

The SOSEO is committed to using personal information in a respectful and useful way. The SOSEO is also committed to making sure members or volunteers do not receive more than a reasonable number of emails, letters, or phone calls.

DISCLOSURE OF INFORMATION

The SOSEO treats its obligations with respect to the use and disclosure of personal information very seriously. Generally, we will only use or disclose personal information for the primary purpose that it was collected for or for a purpose related to the primary purpose that you would reasonably expect it to be used. STORAGE OF INFORMATION

Personal information is stored in our database(s) on a secure server and in hard copy files. Only authorized SOSEO personnel have access to this information.

DIGITAL SERVICES AND ONLINE DATA

The SOSEO uses secure digital systems to collect, store, and manage personal information, including our membership and campaign database and our online donation processor. Personal information collected through our website, email forms, online petitions, or other digital tools is handled in accordance with this Privacy Policy and British Columbia’s Personal Information Protection Act. Online financial contributions are processed through a secure third‑party payment provider (Stripe); SOSEO does not store payment card numbers or banking details. Access to our digital systems is restricted to authorized SOSEO personnel and volunteers who require this information to perform their duties, and we apply role‑based access and reasonable security safeguards to protect this data.

ACCOUNTABILITY

The SOSEO does its best to ensure that all information is recorded accurately—if you notice any errors in our correspondence with you or if your personal information changes, please contact us at [email protected] to update your file. If you do not wish to be contacted by phone, mail, or email, please contact us and we will ensure that your request is honoured.
